AI for real estate agents in Dubai: practical uses and the rules for client data

AI already saves agents time on summaries, replies, descriptions and payment plans. Here are ten practical uses, what has to stay with the agent, and how to keep client data safe under UAE rules.

Propfusion CRM: AI property suggestions on a lead with match scores and matching criteria

AI helps a Dubai agent most with the writing and searching around a deal: summarising a lead before a call, drafting WhatsApp replies and listing descriptions, matching listings to a brief and turning a payment plan into numbers. Advice, prices, permits and pressing Send stay with the agent. Client data needs the most care: keep names, phone numbers and ID details out of public chatbots, and prefer AI that works inside your CRM, within each person's permissions.

Where AI helps a broker today

Think about the work around a sale: writing the same replies again and again, searching listings for a client's brief, filling in forms, and catching up on a client before a call. That is the work AI does well: drafts, summaries, and turning plain words into structured data such as search filters or a payment schedule.

It is weak at what it cannot see, such as whether a unit is still available, this year's service charges or what the client really cares about, and it can state wrong facts with confidence. So the rule of thumb is simple: let AI prepare, and let the agent decide and send.

Ten uses, with examples

Some of these work in any AI tool; the ones that need your own records belong inside your CRM. Where Propfusion has the feature, the example says how it works there. The full list is on AI-powered insights.

  1. Summarise a lead before you call. Ask “Summarise this lead”, or press AI Summary on the lead: it reads the details, notes and latest follow-ups and tells the agent who the client is, what they want and what to do next. Note summaries do the same for one long note, or for every note on a lead, and the app has AI Summary on leads too.
  2. Match listings to a brief. Generate AI Suggestions ranks your ready listings and off-plan projects against the client's budget, bedrooms, property type and areas, and shows the top five of each with a match score out of 100 and a plain reason behind every score.
  3. Draft WhatsApp replies. A client writes: “Is the two-bedroom in Dubai Marina still available, and can I see it on Saturday?” Suggest reply offers up to three drafts in the agent's own style and the client's language, using your listings and what the client asked for, and one tap makes a draft shorter, more formal or Arabic. The agent edits it and presses Send. An admin turns the feature on, then each agent.
  4. Write listing titles and descriptions. The AI listing writer drafts from the listing's own facts, in a professional, luxury, friendly or investor tone, and the app has AI writing on its listing form. Check every number against the listing's documents before it goes to a portal.
  5. Search in plain words. Type or say “2-bed in Dubai Marina under 2M”, and Ask AI search turns it into listing or project filters.
  6. Turn a payment plan into numbers. Type “20% on booking, 40% during construction, 40% on handover” and AI turns it into the plan's lines, or ask for three suggested plans from the client's cash, monthly budget and mortgage. Each draft is marked “AI draft, check before sending”, nothing is saved until you click Looks right, and no client personal details are sent to the AI. More in payment plan proposals.
  7. Ask about your own pipeline. “Which of my leads have overdue follow-ups?” returns the leads waiting on you, each with a link that opens it. Managers can ask “Who is behind pace this month?” about the people they manage.
  8. Let it fill in the forms. “Add 5 follow-up templates for viewings” opens the page, fills in each form and asks once, “Create all 5?”, before anything is saved. Deleting, sending to a client, paying and changing settings need your exact word; the release note PropFusion AI saves for you, after your yes explains how it works.
  9. Train new agents. “Train me on follow-ups” gives a short lesson for the agent's role, a quick check and what to learn next, and it can start a guided tour of the real screens.
  10. Draft marketing that holds no client data. Area guides, newsletters, captions for a listing's video tour and agent bios are safe ground for any AI tool, because they contain no personal data. Check the facts, and remember that adverts need a permit (see below).

What stays with the agent

AI drafts; a licensed agent decides. Four things should stay with the agent:

  • Advice. Whether to buy, which community suits a family, what a client can afford: that rests on a conversation and on the agent's licence, not on a model's guess.
  • Prices. An asking price or an offer comes from comparable sales and the owner's instructions. Treat any figure AI produces as a draft to check.
  • Permits. The Dubai Land Department's Real Estate Brokerage Practice Guide says brokerages must get a permit through the Trakheesi system for any property advert or marketing material, and show the permit number on the ad. An advert written by AI is still an advert; the Trakheesi permit checklist covers the steps.
  • Pressing Send. Anything that reaches a client should be read by the agent before it goes. In Propfusion, suggested WhatsApp replies never send by themselves, payment-plan drafts wait for Looks right, and PropFusion AI saves nothing until the user says yes.

The same practice guide lists honesty and maintaining privacy among the ethics every licensed broker must follow. They make a good test for any message AI drafts: is it true, and does it expose anyone's data?

Client data and public AI tools

The UAE's Personal Data Protection Law is Federal Decree Law No. 45 of 2021, in force since 2 January 2022. As the government portal u.ae describes it:

  • it applies to personal data processed wholly or partly by electronic systems, inside or outside the UAE;
  • it prohibits processing personal data without the owner's consent, with exceptions such as protecting the public interest or carrying out legal procedures;
  • people can ask for inaccurate data to be corrected, and for processing to be restricted or stopped;
  • companies that hold personal data must keep it secure and confidential;
  • it sets requirements for transferring and sharing personal data across borders, and the UAE Data Office acts as the federal data regulator.

Pasting a client's details into a public chatbot hands their personal data to a service your brokerage may have no agreement with. A few house rules keep the useful part of AI and cut that risk:

  • Keep passports, Emirates IDs, phone numbers, email addresses and whole chat histories out of public AI tools.
  • Describe the client instead of naming them: “a family of four, budget AED 3 million, wants a villa near a school”.
  • Use company accounts whose data settings your brokerage has checked, not agents' personal accounts.
  • Prefer AI that works inside your CRM, where each person's permissions already apply.
  • Write the rules on one page, list the approved tools, and go through them with every new agent.

AI inside the CRM vs a chat window

A public chat window knows what you paste into it and nothing else. AI inside the CRM works on the records themselves, which makes it more useful and easier to control. Here is how PropFusion AI compares.

What it works on

Two more safeguards matter for client data. PropFusion AI doesn't follow instructions written inside a document, a record or a web page: that text is treated as data and can never approve a save. And admins see AI usage across the company and can set a monthly limit.

If your team already works in Claude, each company can connect its own CRM to it with the Claude connector. Each person signs in with their own CRM login and Claude sees what that person may see, money data stays read-only, and the connector is off until a company admin switches it on.

Languages

PropFusion AI answers in English, Arabic, French and Russian, with Arabic shown right to left, while the CRM's screens stay in English. Choose the language in the AI panel, ask in plain words (“answer in Arabic”), or save it in your AI Custom Instructions under My Profile. In the web CRM you can also dictate a message or start a live voice call: it listens, answers aloud and listens again.

For clients, WhatsApp reply suggestions follow the client's language and can switch to Arabic in one tap. Treat every translation as a draft: ask a colleague who speaks the language to read anything important before it goes out, and don't rely on an AI translation for anything legal.

Where Propfusion fits

PropFusion AI works inside your CRM's rules

PropFusion AI is built into the web CRM. Agents ask about their own leads, listings and deals by text or live voice, in English, Arabic, French or Russian. It opens screens and fills in forms, and it saves nothing until the user says yes.

It sees what each person's role allows, and it comes with the CRM up to a monthly AI allowance on Propfusion's own AI accounts, so there is no separate AI subscription to buy. A company that wants more can add its own AI key.

Frequently asked questions

Can real estate agents in Dubai paste client details into ChatGPT?

It is safer not to. The UAE's Personal Data Protection Law covers personal data processed electronically, and the government portal u.ae says it prohibits processing without the owner's consent, with some exceptions, and expects companies to keep personal data secure. Describe the client without names, numbers or ID details, or use AI that works inside your CRM's permissions.

Which daily tasks can AI take off a property agent?

Drafting and searching: summarising a lead before a call, suggesting WhatsApp replies, writing listing descriptions from the listing's facts, matching listings to a client's brief and turning a payment plan into numbers. The agent checks each draft and decides what is sent.

Should AI write property adverts for Dubai portals?

It can draft them, but the agent checks every fact before anything is published. The Dubai Land Department's Real Estate Brokerage Practice Guide says brokerages must get a permit through the Trakheesi system for any property advert, and show the permit number on the ad.

Can AI help agents write to clients in Arabic?

Yes, as a draft. PropFusion AI answers in English, Arabic, French and Russian, and WhatsApp reply suggestions can switch to Arabic in one tap. The agent checks the text and presses Send, and the CRM's screens stay in English.

Does PropFusion AI send CRM data to outside AI providers?

It sends the text it needs. PropFusion AI runs on outside AI providers through Propfusion's own AI accounts, or through your company's own AI key if you add one, and those providers receive that text, such as a lead's details and notes for a summary, to produce the answer. It works with the records the user's role can see, and payment-plan drafts are made without the client's personal details.
