Excel and WhatsApp groups work while one person can see every lead and every conversation. A Dubai brokerage outgrows them when enquiries arrive from several portals and ad forms at once, when more than a handful of agents share the same sheet, and when an agent who leaves takes the client chats with them. From that point the work is better done in a real estate CRM, where each enquiry has an owner, a source and a next step that a manager can see.
What spreadsheets and WhatsApp groups do well
It is worth being fair to spreadsheets and WhatsApp groups. A spreadsheet is flexible: you add a column for a move-in date or a mortgage approval in seconds, filter by community, and nobody needs training. WhatsApp needs no set-up at all, and a team group gets news to every agent at once.
For a two- or three-person boutique, where the owner takes most enquiries personally and sees every conversation, a well-kept sheet can be enough. The trouble starts when the sheet stops being the place where the work happens and becomes a record that someone updates afterwards, when they remember.
Ten signs your brokerage has outgrown them
If several of these sound familiar, it is time to look at a CRM.
- Leads arrive in more places than anyone can watch. Portal inboxes, Facebook and Instagram lead forms, the website, the office line and agents' phones all collect enquiries, and someone copies them into the sheet by hand, late.
- Nobody can say who owns a lead. Two agents call the same buyer, or nobody calls because each thought the other had it.
- Follow-ups live in agents' heads. Next steps sit in phone reminders and memory, so a manager can't see what is overdue until a client complains.
- You don't know how fast the team replies. A sheet records that a lead came in, not when it was answered or by whom.
- Client chats leave with the agent. When an agent resigns, the conversations on their phone go with them, and the next agent starts from nothing.
- There are several versions of the truth. “Leads final v3” sits in someone's downloads, and in the copy everyone edits, rows overwrite each other.
- Anyone with the file has the whole client list. A shared sheet has no roles, and copies of passports and Emirates IDs end up in chat groups and on personal phones. That is personal data, and the UAE's data protection law, as the government portal u.ae describes it, expects companies to keep personal data secure and confidential.
- Listings drift out of step. The price in the sheet differs from the portal, and a permit's expiry date is noticed late.
- Commission is rebuilt every month. Splits, co-listed deals and deals that fell through are worked out in a separate sheet, and agents dispute the numbers.
- Month-end reports are built by hand. Leads by source and viewings and deals per agent are counted from the sheet, so targets are argued about rather than tracked.
What changes day to day
A CRM doesn't make the calls for your agents. What it changes is where the work sits: on the lead, where everyone who needs it can see it. The table shows what that looks like in Propfusion, next to the same job in sheets and groups.
- New enquiries
- In a CRM like PropfusionPortal, Meta, website and phone leads arrive in one list on their own, each with its source

- In sheets and groupsWhoever spots it, or whoever the manager tags in the group
- Follow-ups
- In a CRM like PropfusionEach agent sees due, overdue and upcoming follow-ups, and a missed call becomes a call-back follow-up

Propfusion features as they work today. Features differ by plan; the pricing page lists what each plan includes.
Two more changes matter to managers. The lead page shows who responded, how fast and by what channel, against the response target you set, and leads nobody touches can be reassigned, moved to a shared pool or escalated. And because the iPhone and Android app uses the same workspace and is included in every plan, agents can update a lead between viewings instead of at the end of the day. The lead management tour shows each screen, and the guide to answering portal leads in five minutes covers response targets.
Internal WhatsApp groups have a home too: PropFusion Chat, the team chat in the web CRM and the app, where a project can be shared as a card in the conversation. Client chats move to the WhatsApp inbox in the CRM, stages move with the pipeline, and splits and clawbacks are handled in deals and commissions.
What a CRM won't fix on its own
Software shows the overdue follow-up; it doesn't make the agent pick up the phone. A CRM works when a few habits come with it: every lead gets a next step before the agent closes it, managers look at overdue follow-ups and response times every week, and nobody keeps a private sheet on the side. Without those habits, a CRM becomes a more expensive spreadsheet.
When a spreadsheet is still enough
Not every brokerage needs a CRM tomorrow. A sheet can still be the right tool if one person handles every enquiry, leads come from one or two places, and nobody else shares the client list. A quick test: can you say, within a minute, who is following up each open lead and when? If you can, keep the sheet tidy, with one owner, one copy, a column for the next follow-up date and a weekly check.
If you can't, or if you plan to hire this year, a CRM is easier to set up before the team grows than after, when the habits and the duplicates have set in.
What to compare on cost
Compare the total monthly cost for the head count you expect in a year, not the price per seat today. CRMs are priced either per user or per team up to a number of users, and the costs around the licence can decide the total: portal subscriptions, WhatsApp message charges from Meta, a phone system if you want calls in the CRM, and VAT. Our guide to what a real estate CRM costs in Dubai walks through each line in AED, and the comparison of Dubai real estate CRMs sets the main vendors side by side.
Propfusion prices per team: Starter AED 700 a month for up to 6 users, Professional AED 1,460 a month for up to 20 users and Enterprise AED 2,999 a month for up to 45 users, with 20% off when you pay yearly and no setup fee. Features differ by plan, so check the pricing page for what each one includes. Then set the total against what a missed lead or a disputed commission costs your brokerage, and ask every vendor for a trial with your own portals and WhatsApp connected.
Moving over gradually
You don't have to move everything on one day. A common order is:
- New leads first. Connect the portals, Meta lead forms and website forms, so every new enquiry lands in the CRM from a set date.
- Open leads next. Import the leads you are still working on with Propfusion's sample sheet for leads, keeping each lead's agent by their staff ID or sending the rest through your distribution rules.
- WhatsApp and phones. Connect the company number and agents' own WhatsApp Business numbers, then the company phone lines, so conversations land on the lead.
- Listings, then deals and leasing. Move listings and portal publishing, then commission and, if you manage rentals, tenancy contracts and cheques.
Our CRM migration checklist covers the cut-over in detail, and data import lists what each template takes. To see the whole product, read what Propfusion does, module by module, or the overview of the real estate CRM for Dubai brokerages.
The free trial runs 7 days with every feature and needs no card. That is long enough to connect a portal, import a sample of your open leads and see a few days of real enquiries arrive in one list.
Where Propfusion fits
One list, an owner and a next step for every lead
Propfusion brings Property Finder, Bayut and Dubizzle enquiries, Facebook and Instagram lead forms, your website and your company phone lines into one leads list, each with its source. Distribution rules assign every lead by round robin or by weight, duplicates are flagged, and each agent sees their due, overdue and upcoming follow-ups.
The company's WhatsApp number and each agent's own WhatsApp Business number connect through Meta's official sign-up, and the chats stay with the company when an agent leaves.

Screens show the Propfusion Demo Realty sample workspace. All people, listings and numbers are fictional.
Frequently asked questions
Do real estate agents need a CRM, or is Excel enough?
A very small team that sees every enquiry can run on a well-kept sheet. Once leads come from several portals and ad forms, several agents share them, or managers can't see overdue follow-ups, a CRM keeps each lead's owner, source and next step in one place.
What are the signs that a brokerage has outgrown spreadsheets?
Leads with no clear owner, two agents calling the same buyer, follow-ups kept in agents' heads, client chats that leave with an agent, listing details out of step with the portals, and commission rebuilt by hand every month.
Can we keep using WhatsApp after moving to a CRM?
Yes. In Propfusion the company's WhatsApp Business number and each agent's own WhatsApp Business number connect through Meta's official sign-up, agents keep the WhatsApp Business app on their phones, and business chats sit on the lead and stay with the company when an agent leaves.
Can our current Excel lead sheet come into Propfusion?
Yes. Download Propfusion's sample sheet for leads on the Data Import & Export page, put your rows into it and upload it. You choose whether to keep the agent given in each row by their Propfusion staff ID; the other leads go to automatic distribution or to agents you pick.
What does it cost to move a small brokerage from Excel to a CRM?
Propfusion has no setup fee and prices per team, from AED 700 a month for up to 6 users, and you can try every feature free for 7 days without a card. Budget separately for portal subscriptions, WhatsApp message charges from Meta and a phone system if you want calls in the CRM.
